Our Location:

Our overnight accommodation is based in Copthorne, West Sussex, in the UK. The Post Code is – RH10 3JU

The closest train station is Three Bridges which is 5 minutes away, or East Grinstead 15 minutes away. Gatwick & Crawley stations are also close options.

We are 28 minutes by car to Brighton and just 5 minutes from Gatwick Airport.

Our site is externally covered by CCTV

 

Guests:

The maximum capacity of each venue is 2 Adults ONLY. We do not allow guests to come and visit during your stay and only those who’s names are on the booking are entitled to stay.

 

Dogs / Pets:

Sadly, due to the wildlife and deer onsite we do not allow dogs or any pets/animals to be brought on-site. We are animal lovers too and, whilst they are a part of our family, we cannot risk anything happening to our wildlife.

We have cats and deer onsite, please do not feed either of them! If you have any allergies to cats, please advised us prior to your stay.

 

Check IN & OUT Times:

Standard Check in is between strictly between 3.30pm & 6.30pm

Standard Checkout time is 10.30am

These are in place to ensure the housekeeping teams can ensure the Cabins are perfect for the following guests.

 

Early check in (2.00pm) and Late check out (12.00pm) are available as optional extra at time of booking (£45.00) and can be selected at the time of booking. We can’t guarantee these will be available as last-minute options due to the increased staff required for shorter change over.

​

Payment:

We take 50% payment at time of booking, and the balance is requested from you 14 days prior to your stay (check your junk files). Last minute bookings are subject to 100% payment at time of booking.

No Payments are taken over the Phone / via socials – this is for security and fraud prevention.

 

Confirmation Emails:

You will be sent a confirmation email, please ensure that the information on this is correct and represents your booking. (Check you junk folder in case they have gone here).

Prearrival Email:

You will receive an email prior to your stay with detailed directions to us and “What3words” reference to assist you finding us. We are a little tucked away and down a single lane so please be respectful to other users and pedestrians that might be on this access road.

​

Contact Times during your Stay:

We are contactable during your stay between the hours of 9am and 7pm. If you have any questions upon check in (3.30pm – 6.00pm) please contact us via telephone / message and we can assist you between these times.

Outside of these times if there is an emergency then please call the emergency services on 999.

 

Cabin Details:

Each Cabin has a detailed information sheet on the cabins features and how to use the equipment. We encourage you to read this to ensure you get the most from you stay with us.

​We are in a secluded and remote location, whilst every endeavour has been made to ensure WIFI, Power, Water and Heating is available, on the odd occasion this might be impacted by means beyond our control and we take no responsibility for such failures. Please be mindful with the lights kept off when not needed and keep the Hot Tub Covers on when not in use.

​Unfortunately, due to our remoteness, we are unable to offer charging facilities for electric vehicles on-site and charging on-site is strictly forbidden for Health & Safety reasons.

​

​IMPORTANT: We will have the right to access to the external part of the property to check the hot tubs daily. This is to ensure they are topped up; covers have been put on correctly and chemicals are at the correct levels, this is for Health and safety and non-negotiable. We will always try and do this if you go out so not to disturb you but on the odd occasion we might need to pop in while you are there but will of course always knock first and check and access the garden externally.

​

We have right to access inside your cabin if we feel you are breaking any rules, damaging the cabins or using drugs, this includes gas. Which you will be asked to leave the premises immediately if any of this is happening on the property.

​

Special Occasions & Decorations:

We have some amazing partners that we work with who know our venues very well.  Please discuss your requirements with them, see Extras Page.

You are not permitted to decorate the cabin yourselves unless agreed prior to your stay with us due to insurance reasons.

Extras such as Prosecco / Champagne on ice on arrival, Swan towels, candles and petals, Birthday signs are booked directly with KOKO Cabins and you can add these as you checkout online. Petals are fake petals so the colour doesn’t run onto the linen or cabins. Fake flame candles are used as real candles are forbidden anywhere on site.

​

Neon Happy Birthday Sign / Petals / Candles & Swan Towels:

These extras are hire items only. The cost of these is to Hire only and are not to be removed from the cabins - Thankyou very much

Food & Drink:

All of our accommodation is self-catering - no food is provided or available on-site. We do however provide tea and coffee making facilities.​

All the cabins have full kitchens, so you are welcome to bring your own food and drink for your stay. You are also welcome to order takeaways in and we have some great recommendations below – feel free to use others but please note we are tucked away and can be hard to find.

​

We are nearby to Copthorne and East Grinstead, so you can visit the local pubs and restaurants.

​

We also have some amazing partners who can offer bespoke food packages, grazing boards and Sushi platters. All cutlery and crockery are provided for your stay, but please wash up what you use. We also offer the additional extra of a Private Chef Experience and/or Afternoon Tea, but please note the terms and conditions for this will need to be ordered in advance.

Alcohol, Drugs & Gas:

Please feel free to kick back and enjoy a few glasses of your favourite tipple whilst relaxing and unwinding. We do not, however, encourage binge drinking or tolerate any bad behaviour that could lead from excessive alcohol intake or drug taking. Any such event, or cause of disturbance, will result in you being asked to leave the site. Anyone caught or suspected of using Drugs / Gas on site will be reported to the Police and you will be asked to leave the site.

Any remnants of this left onsite will be notified to the police and you will be charged £150 from the card you paid on.

 

Personal Responsibility & Duty of Care:

KOKO Cabins takes no responsibility or liability for guests whilst on-site. It is up to the guest to conduct themselves safely and with care whilst on the site. KOKO Cabins takes no responsibility for items on-site - either in the venues or if left in guests cars. KOKO Cabins is not responsible for any vehicles onsite, and it is up to the drivers to drive carefully on the premises. Under no circumstances can KOKO Cabins be held responsible for injury, damages or losses to individuals, cars or items. KOKO Cabins takes no responsibility for personal items around water in any of the venues.

​Should we see any evidence of an argument/disturbance, or physical violence whilst on-site, or after you have vacated, we will call and notify the police as a duty of care.

Any damages made on site will be deducted from the card you made payment on. This is to cover the full cost and any labour costs.

​

Outside Space:

Each cabin has its own private outside space. Please take care when using this space. The cabins are tucked away and set within ancient woodland. We are set within the heart of nature and, as the seasons change, wind, rain, snow, falling leaves, water and other elements can all have an impact on conditions, so please take care in all areas as these could cause them to be slippery, or produce hazards. We take no responsibility for any of your actions taken whilst using these areas. Short power cuts, WIFI connectivity and Weather can all impact the site. This space is not heated and, as such, please bring appropriate clothing. We provide an outside duvet for your use.

​Noise: Please be mindful of the tranquil setting and location, so please be sympathetic to other guests and our neighbours and do not put the outside cinemas higher than 1.

Smoking / Fire / Naked Flames / Candles:

STRICKLY NO NAKED FLAMES OR FIRES ARE PERMITTED ON SITE. We are a non-smoking venue. This also goes for candles and the like. NO naked flames are permitted on-site on any occasions. We have smoke alarms fitted to each cabin.

​

Noise:

Our Cabins are your retreat for the time you stay with us. We want you to have the most amazing and enjoyable experience. We all have our own unique ways to do this, however we ask all of our guests to ensure that outside noise is kept to minimum and no external speakers or sound systems are permitted to be play on-site any at time. Please ensure no noise outside is elevated after 10pm. Should your actions disturb the site, or others, you will be asked to leave.

We have added Cinemas as an additional Feature - ​Please Keep the Cinema Volumes to 1 to ensure you do not disturb other guests and we ask that the use of external speakers are enjoyed but being mindful of other cabins and guest - We cannot be held responsible if these are not available for your stay due to circumstances outside of our control - Thankyou.

​

Robes & Towels:

We provide Towels and Robes for your stay with us; however, we have opted not to use disposable slippers as this has a negative impact on the environment as they cannot be recycled. As such, we ask you to bring your own slippers or flip-flops.

 

Water:

We take no responsibility for guests or their personal items in or around water. You use the hot tubs solely at your own discretion and personal risk. - Please also note that when the external temperatures are low the outside showers will not be in use, this is because the water they produce could freeze and cause slippery surfaces. To ensure our hot tubs are clean and safe to use they require the water to be changed, we can’t always guarantee these are up to full temperature at the time of your arrival. Due to circumstances out of our hands we cannot always guarantee these will be in use.

Fans / Heating:

All our venues have Underfloor Heating and they will be set to an ambient temperature. Please note it takes on average one degree an hour to increase the heat. We have Fans in each cabin too for the summer months.

​

Parking:

There is private parking for each cabin opposite your cabin. There is one space per Cabin, please do not Park or Drive on the grass, any damaged cause will have to be done so at your cost. Please stick to the roads and paths – Thankyou. If you drive on the grass there will be charges on your card to cover the cost to replace plus any labour costs.

​

Local Area & Walks:

We have some lovely walks close by and a golf course next door. Please feel free to wander off and explore the area. Please do not wander around the other cabins, or in-front of them at any time. There might not be a car there, or lights on but that doesn’t mean that no one is there relaxing in private – Thankyou.

 

3rd Party Bookings:

KOKO Cabins holds No responsibly for any 3rd Party bookings made. These are made directly with them and we do not take responsibility for services provided, payments or organisation of these – all details can be found on our Extras Page.

 

Price Change / Change of date / Cancelations:

KOKO Cabins reserves the right to cancel a booking should there be an incorrect rate applied. Prices may change & fluctuations occur during times of the year. Once you have booked you are able to cancel and receive a full refund if your stay is more than 30 days away. If within this time frame you can move the date once to an alternative date. If the price is higher, then there will be a balance to pay before you stay.

​

Lost Property (LP):

If you have left any belongings behind, please notify us by email straight away giving the details of the item, the date you stayed and the cabin name. Any LP will remain on site for 2 weeks then be disposed of. You are free to collect any LP at an agreed time, or this can be posted back to you at a cost of £10.00 or higher if the item is of significate weight or value.

Maintenance & Changeovers:

At any point in time maintenance maybe required to any of the cabins. This might, for a brief period of time cause some noise and disturbance but it is essential to ensure they are maintained and safe.  For those guests staying more than one consecutive night our housekeeping team will be on site to carry out changeovers at checkout for other cabins.

We will always endeavour to carry out works such as the mowing of lawns, strimming, and other such maintenance works in between changeovers but due to weather conditions and bookings we cannot guarantee this.

If you share and Tag us in, (we must be tagged in and shared on your socials) every 12 weeks we will pick a winner who will get the chance to stay with us for a free night mid-week stay (Monday to Thursday). This Night will be available to use on available dates within a 3 month time frame from being chosen. This offer expires after the three months.
